The term of this contract will be 1 year


Panel interviews are anticipated for end of February.


This position is open to nationals of Tunisia and other nationals with a valid Tunisia work permit. Employment with the EIB is subject to pre-employment screening. Appointment of a selected candidate is conditional on a successful completion of the EIB pre-employment screening.


Purpose

Provide administrative support to the Maghreb PJ Regional Team (the Team) based at the EIB office in Tunis, and contribute to the smooth functioning of the office overall on a day-to-day basis.


Operating Network


The Administrative Assistant will report to the Head of the Regional Development Division in Luxembourg. Operational guidance will be provided by the PJ ERI Representative in Tunis. Administrative and institutional guidance will be provided by the EIB?s Regional Office in Tunis, managed by its Head of Office.

Main responsibilities

Assist the Team in all administrative tasks: screen and distribute incoming documents and correspondence, prepare responses and/or ensure appropriate follow-up, distribute and circulate information within the Team, organize documents and folders for the use of the PJ Regional Team and any other relevant tasks
Be responsible for scheduling, organisation and management of meetings and appointments on behalf of the Team members
Interface with internal and external contacts, as well as with the Projects Directorate and other services at EIB Headquarters in Luxembourg
Prepare standard texts (e.g. letters to authorities, answers to clients, compilation of information letters)
Provide interpretation from Arabic to French/English and retroversion (either consecutive or whispering during meetings), as well as translate documents from Arabic to French/English and vice-versa
Organise, prepare and provide support to the Team on business trips in and outside the country, including occasional travel with Team Members
Handle and update filing systems and project databases;

It is essential that the Administrative Assistant has a solid understanding of the local public sector and functioning of the ministries and other public authorities, as well as a good understanding of project processes and the project cycle.

Qualifications

Higher education diploma, preferably in office management / business administration / technical studies
At least 2 years of relevant professional experience, preferably in an international environment
Excellent knowledge of standard computer tools (Microsoft Office: Word, Excel, Powerpoint, Outlook)
Excellent knowledge of written and spoken Arabic, French and English
